Setting Up and Managing Email Forwarding in Alice

This guide provides step-by-step instructions for setting up and managing email forwarding for team members in Alice. You will learn how to navigate to the Inbox Management section, review and associate sender addresses with team inboxes, and verify successful configuration. Prerequisites

  • Organization-level permissions to modify team and inbox settings
  • At least one team member and one available sender address in your Alice account

Step-by-Step Instructions

1. Navigate to Settings

  1. From the main dashboard, locate the left-hand navigation bar.

  2. Click Settings at the bottom of the navigation menu.

2. Access Inbox Management

  1. On the Settings page, select the Team tab if not already selected.

  2. Click the Inbox Management sub-tab.

    Expected outcome: The Inbox Management table appears, listing all team members and their associated inboxes. In this example, there are 66 team members and 120 associated inboxes.

3. Review Team Inboxes

  • Review the Inbox Management table to see each team member and the number of inboxes associated with them.

  • Use the search bar to find specific team members if needed.

    Tip: The number of inboxes per team member is shown next to their name (e.g., “1 Inbox”).

4. Associate an Additional Sender Address

  1. Find the team member you want to update (e.g., “Raj Patel”).

  2. Click the + icon next to their inbox count.

  3. In the modal that appears, review the list of available sender addresses. Each address shows its status (e.g., “Ready”).

  4. Select the checkbox next to the sender address you want to associate (e.g., “ammar@explore11x-partnership.com”).

  5. Click Save to confirm the association.

    Expected outcome: The modal closes, and the team member’s inbox count increases (e.g., from “1 Inbox” to “2 Inboxes”).

5. Verify Inbox Association

  • After saving, confirm that the team member’s inbox count has updated in the Inbox Management table.

  • You can click the + icon again to review or modify the associated inboxes.

6. Complete External Verification (If Required)

  • For newly associated sender addresses, you may need to verify ownership:
    • Open the mailbox for the sender address.
    • Find the verification email from Alice and click the verification link.
    • Return to Alice to confirm the sender address is active for forwarding.
  • Note: This step requires access to the external mailbox and cannot be completed within Alice.

7. Troubleshooting and Error Handling

  • If you see an error message such as “Failed to update inbox assignments,” but the inbox count updates, refresh the page to confirm the change.
  • If the inbox count does not update, repeat the association process.
  • For persistent issues, use the in-app chat icon or contact your Customer Success Manager.

Success Criteria and Verification

  • The team member’s inbox count reflects the correct number of associated sender addresses (e.g., “2 Inboxes”).
  • The associated sender addresses appear as “Ready” in the assignment modal.
  • Any required verification emails have been completed externally.

Additional Tips

  • Use the search bar in Inbox Management to quickly locate team members.
  • Regularly review inbox associations to ensure forwarding is set up as intended.
  • For bulk changes, repeat the association process for each team member as needed.
