This guide provides step-by-step instructions for configuring event settings in the Alice Smart Calendar. By following these steps, you will set up a new calendar event (e.g., “Quick Chat”) with a custom title, description, URL slug, and duration. The process also covers saving your configuration and verifying the setup. Optional advanced settings are available for further customization.

Prerequisites

  • Calendar integration (e.g., Google Calendar or Outlook) must be connected in Alice. If not, connect your calendar when prompted during the process.
  • Appropriate permissions to access and modify calendar integrations in Alice.

Step-by-Step Instructions

1. Navigate to Settings

  • From the Alice dashboard, locate the left-hand navigation menu.

  • Click Settings at the bottom of the menu.

2. Access Integrations

  • On the Settings page, select the Integrations tab at the top.

3. Open Calendar Configuration

  • Find the Calendar integration card (look for a green dot indicating it is connected).

  • Click the Configure button on the Calendar card.

4. Enter Event Details

  • On the Smart Calendar configuration page, ensure you are on the Event Setup tab.

  • Fill in the following fields:

    1. Title: Enter the event name (e.g., Quick Chat).

    2. Description: Enter meeting details (e.g., A quick video meeting).

    3. Slug: Enter a URL-friendly identifier (e.g., quick-chat).

    4. Duration: Enter the meeting length in minutes (e.g., 15).

  • Location: Confirm the location is set as desired (e.g., Cal Video (Default)).

Tips:

  • Use clear, concise titles and descriptions for easy identification.
  • The slug should be unique and contain only URL-safe characters (letters, numbers, hyphens).
  • If you want attendees to select their own meeting duration, enable the “Allow booker to select duration” toggle.

5. Save the Event Configuration

  • After entering all required details, click the Save button at the top right of the form.

6. Verify the Configuration

  • After saving, confirm that the event details (title, description, slug, duration) are displayed as expected.

  • The preview at the top of the page should reflect your changes.

Optional: Advanced Event Settings

  • The left sidebar includes additional tabs for further customization:
    • Availability: Set your working hours and availability windows.
    • Limits: Define booking restrictions and frequency limits.
    • Advanced: Adjust additional calendar settings.
    • Recurring: Configure repeating schedule options.
    • Payments: Require payment for bookings and configure payment details.
  • These settings are optional and can be configured as needed for your use case.

Troubleshooting

  • Calendar Not Connected: If your calendar is not connected, you will see a prompt to connect (e.g., Google Calendar, Outlook). Follow the on-screen instructions to complete the connection.
  • Save Button Disabled: Ensure all required fields (Title, Description, Slug, Duration) are filled in. The Save button will only be enabled when all mandatory fields are complete.
  • Slug Already in Use: If you receive an error about the slug, choose a different, unique identifier.
  • Changes Not Reflected: Refresh the page or re-enter the configuration to verify your changes were saved.

Success Criteria

  • The event appears in your Smart Calendar configuration with the correct title, description, slug, and duration.
  • The preview at the top of the configuration page matches your entered details.
  • The event is available for booking as configured.
